Internal Rules and Regulations

We warmly welcome you and ask you to carefully read the regulations and rules of conduct that each guest must adopt in order not to disturb or harm others and the environment.
Failure to comply with one or more provisions of these regulations and the rules contained herein may result in termination of the contract with the resulting economic and legal consequences.

Our staff is at your service to make your stay as comfortable and enjoyable as possible.

General guidelines

  1. The Hotel Le Grazie’s Rules and Regulations are drawn up to ensure a uniform, orderly, peaceful and serene use of the facility in the interests of all. They are contractual in nature and set out the terms of agreement between Hotel Le Grazie and the Guest. Therefore, the request to stay at the Hotel and the acceptance of this request by Hotel Le Grazie implies the total agreement to these Regulations.

  2. All guests are requested to observe the Internal Rules and Regulations of the accommodation facility. Non-compliance with the regulations and further provisions of the management may lead to the eviction of the offender from the accommodation and, in the event that non-compliance may give rise to the suspicion that a crime has been committed, to the reporting thereof to the public authorities.

  3. All specific indications on signs in the area owned by and/or pertaining to the hotel must also be observed.

  4. The parents (or whoever legally exercises parental authority over them) are jointly and severally liable for the actions of their minor children in the Hotel and are obliged to supervise them and ensure that they behave politely and respectfully towards others, under their direct responsibility and in particular with respect to the obligation to observe silence, the proper use of the toilets (which cannot be considered as play or meeting areas) and the facilities and equipment made available to guests by the Hotel. Any activity that may disturb other guests is forbidden. In general, all rules of these contractual regulations must be observed.

  5. The behaviour of both adults and minors is considered contractually relevant and, therefore, any violation of the provisions of these regulations and of the common rules of civil coexistence and the hotel’s sound performance, according to the judgement contractually delegated to the management, will result in the immediate termination of the contract and eviction from the hotel. assessed. In such a case, the hotel management shall be entitled to withhold the amounts already paid and claim the remaining amounts, including by way of compensation, without prejudice to the right to claim compensation for any higher damage

  6. Personnel appointed by the Management are obliged to ensure compliance with the Rules and Regulations in respect of everyone. Each guest accepts hospitality at the hotel by contractually submitting to the authority of the staff, who in turn are obliged to respect the laws of the Italian Republic and the generally accepted principles of politeness and good manners According to the hotel policy, all guests are entitled to respectful and dignified treatment and, as responsible hosts, we have an obligation to protect guests from inappropriate behaviour. If a guest’s actions are deemed inappropriate by a staff member, or if inappropriate behaviour is reported, the hotel reserves the right, upon verification, to take action against the guest. Depending on the severity of the guests’ actions, the hotel may, at its own discretion, request the intervention of the police or evict guests from the premises.

Personal information

  1. Upon arrival, guests will be asked for an identification document for notifying the competent police authorities of their presence.

  2. Pursuant to art. 13 of Italian Legislative Decree no. 196 of 30.06.2003, all personal data of our customers will be processed both through computer systems and manually, in order to comply with tax and legal obligations (invoicing, recording data, etc.) and to provide the requested service, as well as to keep our guests informed of future promotions and offers.

Booking

  1. For information, you can contact the hotel reception and management by phone, e-mail or in person.

  2. Reservations can be made by sending a written request by e-mail to info@legrazieassisi.com, on the website http://www.legrazieassisi.com.

  3. The booking request must state the number and type of rooms required, name, surname, date of arrival, date of departure, number of adults and children, age of children (in order to be able to offer tailor-made quotes for different needs), telephone number and e-mail address for any communications. Please also indicate your estimated time of arrival, if known.
    To confirm the reservation, unless otherwise stated, the credit card details of the person making the reservation are required as a booking guarantee. The hotel will verify the credit card details by pre-authorisation of the amount equivalent to the total amount of the stay.

  4. The reservation is also considered valid in the case of a deposit by bank transfer, provided that it has been previously agreed with the reception office, and that the name, period and duration of stay, address and telephone number of the sender are specified.

  5. The rate includes morning cleaning (at scheduled times) and breakfast. NOT include: any additional cleaning, beverages, drinks at the bar, consumptions from the minibar, drinks at the restaurant not included in the offer, equipment rental and use if not explicitly stated in the offer, damage to persons or property, and anything else not specified in the offer.

Changes to reservations, cancellations

  1. For cancellations or changes to the booking within seven days prior to arrival at the hotel or in the event of a no-show, the hotel reserves the right to charge the full amount of the booked stay.

  2. As a rule, there is no refund if the accommodation cannot be used during the booked period due to transport difficulties, errors, other personal reasons or even changes such as early departure or late arrival. Payment of the balance of your stay

  1. The balance of the stay is due upon arrival at check-in, a credit card guarantee does not exempt the customer from payment. The pre-authorisation requested will remain valid as a guarantee for the entire duration of the stay. It will be cancelled after departure after checking the room, the regularity of the stay, the balance of extras and the compliance with the main provisions of rules and regulations, with a possible charge in the event of damage, theft, unpaid extras at check-out and/or early departure.
  2. The pre-authorisation is automatically released after 30 days, according to banking regulations. Should you wish the amount to be released in advance, the procedure must be requested by email to the hotel, subject to verification of point 5 par. a.
  3. ACCOUNT FOLIO for REVIEW: Before settling the account, you can request a preview of all charges. Any errors or omissions must be reported before the receipt is issued.
  4. ELECTRONIC INVOICE: in case you need an invoice, please notify us in a timely manner by providing all invoicing details such as recipient, address, tax/VAT code, recipient code/PEC. Otherwise, a tax receipt will be issued and subsequent cancellation will not be possible.
  5. ACCOUNT SETTLEMENT: The balance of the room must be paid upon arrival. It is possible to pay in cash up to a maximum amount of € 1,999.00 (subject to changes in cash payment legislation) or also by credit and debit card. Please note that personal cheques are not accepted. By way of exception and by prior agreement with the management, non-transferable bank drafts may be accepted.
  6. EXTRA CONSUMPTIONS: Consumption at the bar, minibar and other extras not yet processed by the hotel staff must be reported upon check-out.
  7. UNREGISTERED GUESTS: Any persons staying in the same room, but not declared at the time of reservation or arrival, will be charged to the lead guest at a rate increased by 50% on the daily rate. Management and ownership are entitled to report all unauthorised persons found inside the hotel to the police authorities.
  8. CHARGE FOR KEY LOSS: Key damage will be charged with a minimum amount of € 10.00 for duplication. Loss of keys and/or key holder will be charged with a minimum amount of € 30.00.
  9. CHARGE FOR DAMAGES: The guests will be held responsible and will be required to pay compensation for any loss or damage to the hotel property caused by themselves, their guests or any person or pet for whom they are responsible. In the event of missing linen, we will be forced to charge it to the account.

Arrival (check-in)

  1. ROOM CHECK-IN TIME: Rooms are NOT available before 12 p.m. (GMT +1) and check-in is guaranteed until 8 p.m. (GMT +1), unless otherwise agreed. Please agree on your expected time of arrival while booking. Keys will be available on arrival after registration and payment of the balance. If the room is ready before the check-in time it will be assigned immediately, otherwise you can leave your luggage with us.

  2. IDENTIFICATION DOCUMENTS: Upon arrival, guests must be provided with identification documents, including minors. Otherwise, the operator must refuse hospitality (art. 109 of the public safety laws as amended by art. 7 point 2 of Law 203/95).

  3. ACCEPTANCE OF MINORS: Minimum age to reserve a room: 18 years. Unaccompanied minors will only be accepted provided they have a signed waiver from their parents (or legal guardian), with their on-call telephone number and a copy of their ID.

  4. VISITORS OF GUESTS: any visitors of guests staying at the facility, even if temporary, must be notified and registered at the reception desk and carry ID. Their presence on the premises must be authorised by the management.

  5. PERSONS OCCUPYING THE ROOM: Each accommodation unit may only be occupied by the number of persons indicated for that specific unit. ALL occupants’ names must be provided to the reception desk.

  6. DATA PROCESSING Our guests’ data are processed in accordance with current privacy legislation.

  7. ROOM ASSIGNMENT: The selection and designation of the room, in the type and category booked, is at the sole discretion of the hotel management, unless otherwise expressly agreed in writing.

  8. ROOM INSPECTION: Please promptly report any damage or malfunctions you may encounter when you get into your room. Any damage found later will be charged to you.

Departure (check-out)

  1. ROOM CHECK-OUT TIME: rooms MUST be vacated by 10 a.m. (GMT+1), unless otherwise agreed. Please agree on your expected time of departure while booking. Unauthorised extensions beyond this time will be considered an extension of the stay and will be charged. Keys must be handed in to the staff at the reception desk, who will check what has been given in use (to avoid any disputes, please report any defects, etc.).

  2. PENALTY FOR LATE DEPARTURE: After 2 p.m. (schedule by which the room must have been cleaned), the total cost of the room for an entire day will be charged to the guest.

  3. EARLY DEPARTURE: Guests who check out of the hotel prior to their scheduled departure must pay the full amount agreed at the time of booking. If on the day of your departure (check-out) you plan to leave before 7.00 a.m., kindly inform us the day before.

  4. PAYMENT OF OUTSTANDING BALANCE: If possible, the bill must be requested and, in case of departure before reception opening hours, settled on the day before departure.

  5. LUGGAGE STORAGE: On the day of departure, you can leave your luggage with us until 6 p.m.

Rules of conduct during your stay

  1. HOUSEKEEPING AND ROOM AVAILABILITY: The guest is entitled to access the room from 2 p.m. on the day of arrival, as booked. During the stay, the room is at the guest’s disposal except for 30 minutes between 9 a.m. and 2 p.m. for daily cleaning. If the guest does not wish to have the room cleaned within the specified time frame, he/she will lose the right to the daily cleaning.
  2. STAFF ENTERING OCCUPIED GUEST ROOMS: If, in addition to normal access for housekeeping, it is necessary for hotel staff to enter an occupied room for maintenance or other reasons, or if there are major changes in housekeeping and service schedule, the hotel will inform guests of any need for staff to enter an occupied room.
  3. Rubbish must be collected in the special bags in the rooms and in the in-room bathrooms. It is not allowed to leave any waste or anything else in the common areas.
  4. LINEN CHANGE: Linen is changed every 3 days. For standard bookings, if expressly requested by the guest, daily linen change can be arranged at an additional charge.

  5. USE OF ROOMS AND BATHROOMS:

    • Any damage to furniture, accessories or equipment will be assessed with the business owners for compensation.
    • Please do not slam doors, but close them gently. If you return to your room late, close your room door quietly so as not to disturb those who are already asleep.
    • In the bedroom or bathroom you will find everything you need: pillows, towels, toiletries, etc. It is forbidden to take anything out of the rooms, bathrooms or any other premises of the hotel.
    • Please report found or lost items to the reception desk.
    • When you leave the room, be sure to close the door and check that the windows are securely closed to prevent any valuables being taken from the rooms.
    • WE ARE NOT RESPONSIBLE IN ANY WAY FOR PERSONAL BELONGINGS LEFT UNATTENDED IN THE ROOMS. Therefore, please do not leave valuable items unattended.

  6. NOTICES, RULES AND PROHIBITIONS: SILENCE, ORDER, CONDUCT AND BEHAVIOUR ON THE HOTEL PREMISES. The following rules must be observed:

    • Smoking is prohibited.
    • It is forbidden to make use of drugs.
    • The vegetation, grounds, hygiene and cleanliness of all areas must be respected.
    • It is not permitted to enter areas reserved for hotel staff.
    • It is not permitted to dispose of paper and rubbish outside the bins provided.
    • Access with weapons, knives, sticks or objects considered blunt is not permitted.
    • Speaking loudly, shouting is not permitted.
    • From 10 p.m. onwards, televisions, other devices or voices must be kept at a respectful low level at all time. Doors should be opened and closed quietly. No congregating or running in corridors, staircases and common areas.

Pets: dogs, cats, rabbits and other animals

  1. The hotel accepts small and medium-sized pets upon request and confirmation by the hotel. For hygiene reasons and possible allergies of other guests, pets are allowed only in designated rooms and only in some areas. The management reserves the right to accept the pet at its own discretion.

  2. The charge for the pet’s stay is € 5.00 per day and, at the end of the stay € 25.00 will be charged for a thorough final cleaning and disinfection practice.

  3. The pet’s presence must be communicated at the time of booking.

  4. Pets must remain on a leash at all times both inside the hotel and in the outdoor areas.

  5. The customer must be adequately equipped for the well-being of their pet. Any use of the bed and bath linen for the pet’s needs (grooming, bedding or otherwise) is prohibited.

  6. It is strictly forbidden to allow the animal on beds, armchairs, chairs, tables, etc.

  7. It is strictly forbidden to leave pets alone in the rooms during the entire stay (day and night).

  8. It is mandatory to comply with the vaccinations prescribed by national and regional legislation and the mandatory mark (tag, tattoo, chip).

  9. The pet’s behaviour must be supervised by the owner so as not to disturb the other guests. Any pet disturbing one of the guests or other persons in the hotel must be calmed or removed upon request. Pet owners accept full responsibility for damage that may be caused by the animals. All actions necessary to restore hygiene in the areas used by the pet are the responsibility of the customer. If traces (hair, excrement or other) are found on the bedding or linen, the value of the contaminated garment will be charged to the customer.

  10. The management reserves the right to terminate the accommodation contract at any time and without prior notice to anyone who fails to comply with the above instructions.

Wi-Fi

  1. All areas and rooms at Hotel Le Grazie are equipped with Wi-Fi (code available on request at the reception desk).

Times

  1. Please observe the displayed times to use the services.

  2. On arrival, rooms are assigned between 2 p.m. and 8 p.m.

  3. On departure, rooms must be vacated by 10:30 a.m.

  4. Please inform us in a timely manner of any time requirements other than those indicated here.

  5. SERVICES: Please observe the indicated times. The hotel is not obliged to provide services outside these times, nor is it obliged to reimburse services not used due to the client’s negligence or delay, including breakfast, lunch and dinner.

Electrical equipment and devices

  1. The power in the hotel is 220 volts AC, please check that your appliances are suitable for this type of power.

  2. Sockets are of the Italian type. Be sure to bring adapters if your devices have plugs with a different system.

  3. The hotelier is not liable for damage to equipment due to force majeure (sudden power cuts, power surges, etc.).

Smoke, fires and open flames

THE HOTEL HAS NO SMOKING ROOMS, SO SMOKING IS STRICTLY PROHIBITED IN ALL AREAS OF THE HOTEL AND ESPECIALLY IN THE ROOMS.

  1. Smoking, burning, lighting candles in rooms, corridors and other areas is NOT allowed unless expressly authorised.

  2. It is mandatory to inform oneself about and take note of the firefighting regulations, equipment and behaviour in case of fire.

  3. It is strictly forbidden to use a cooker in the rooms.

  4. The use of open fire appliances, regardless of the fuel used (small stoves, cookers, lamps, etc.) is prohibited throughout the establishment, including in the rooms.

Meals, hygiene and safety

  1. For hygiene and safety reasons, it is NOT allowed to prepare meals in the rooms.

  2. Breakfast is served in the breakfast room.

  3. Hotel guests are not permitted to take food and beverages for breakfast to places other than the designated service rooms (in the room or outside the hotel).

Liability

The management of the hotel is not liable for the loss of objects and/or valuables belonging to the guests (each guest is obliged to exercise due diligence in the custody of the objects belonging to him/her), for damages resulting from events of force majeure and res naturae (atmospheric events, natural disasters, epidemics, diseases, falling trees or branches or products belonging to the nature of plants, gusts of wind, damage or theft of cars in the parking area and in the area around the facility). Under no circumstances will discounts be granted at the time of departure to cover any or alleged inefficiencies that may occur as a result from the events described above.
